    Below we present issues related to the office use rules. If you can’t find something, let us know or have a look at your contract.

    WHAT CAN BE CHANGED IN YOUR OFFICE

    If you relocate to another facility, the office should be restored to its original state. Any modifications should be able to be reversed.

    Without special permission, you are allowed to:

    Hang posters, pictures, signs, TVs on the walls.

    Install hanging decorations.

    Paint walls and lay structural plaster, etc.

    Place stickers on glass doors.

    With a special permission:

    Make changes to flooring.

    Make changes regarding floor outlets.

    Make changes to existing office equipment.

    Make changes that cannot be undone prior to moving out.

    Make changes that are not necessary for the functionality of a given room.

    WHAT CANNOT BE DONE

    Without written permission, you cannot make changes that cannot be reversed after the end of your contract without incurring above minimal costs or without further interfering with the room. Also you cannot make changes to windows and blinders.

    Office renovation

    A little office renovation? No problem! But first you need to get permission from the property manager, who must approve the detailed design and the work schedule. If the renovation work will be disruptive, e.g. by generating noise, it must be carried out in the evening or at the weekend.


    Pro tip

    Report the renovation work to the property manager by email, submitting an approval form. You can begin renovation work as soon as you are granted permission.


    There is a special procedure in place for carrying out construction works in the building, including renovations and rearrangements. Below you will find its most important principles.     RENOVATION STEP BY STEP

    STEP 1

    Before the hammers start hammering and the paint brushes start dancing on the walls, you should inform the property manager of the planned work. It is up to them to give you formal written permission (for example by email) to carry out the work. Only when this has been granted can the renovation work begin.


    STEP 2

    The start of the work is preceded by the completion of several formalities by both you as the client and the contractor:

    • drafting the Work Permit document, in which you name the building contractor, give their details and list the workers who will be employed on the renovation,
    • preparation of a detailed work schedule,
    • submission by the contractor of an insurance policy with a value of at least EUR 1 000 000,
    • designation of a person to supervise the renovation, who is qualified in the fields necessary for the execution of the works.

    STEP 3

    Fill in the Work Permit Form along with all the technical documentation for the planned works and submit it to the property manager.


    STEP 4

    The property manager or their authorised representative verifies the project and provides you with any comments within 7 working days.


    STEP 5

    The acceptance of the works and the preparation of the Final acceptance protocol for the works is carried out by the building’s technical service manager or an employee from the technical department authorised by him.


    STEP 6

    Ask the contractor to organise the work with the following principles in mind:

    • noisy and disruptive work should be carried out outside the working hours of the tenants, i.e. on weekdays between 7 p.m. and 7 a.m and on Saturdays and Sundays,
    • escape routes, passages, staircases, vestibules and corridors must not be obstructed,
    • a waste container should be provided so as not to overfill the public bins; its location should be agreed with the property manager,
    • the transport of materials and persons carrying out the work is carried out exclusively by means of a fire and transport lift with its protection against mechanical damage,
    • only persons with a valid contractor’s identity card or pass during working hours are allowed to enter the construction site and the already commissioned floors; all employees working on the renovation must wear waistcoats or work clothes with the contractor’s name on them and carry personal IDs.

    Common areas

    Freedom in your own home!. Still, not where employees of different companies meet. Apart from the examples given in the branding section, you must not display any signs, information, flags, posters, adverts etc. in common areas. This applies to windows, doors, corridors and other shared parts of the building unless you are given special permission. To get it, make sure that everything you want to put in common areas is unobtrusive and fits in with the surroundings.

    Responsible for coordinating the repair of defects in the building, answers questions regarding technical issues in the premises of the rented premises, and issues approvals for technical changes introduced in the premises.
