    Here comes the day when you find yourself in your new dream office. What a wonderful feeling! Still, something less pleasant first… Moving! Nobody likes this time-consuming process, but with our tips, everything should go smoothly.

    Office handover

    Representatives of your company with the necessary powers of attorney to sign the handover protocol must be present at the office handover session. We recommend taking your photo record at that time. During office handover, together with a protocol that must be signed by an authorised person, we will also provide access cards.


    Pro tip

    You do not need to lease the premises yet to leave your furniture or hardware there. However, make sure you include a paragraph in your lease agreement that allows you to sign an Early Access Protocol with the property manager.


    Delivery hours

    Delivery of new furniture or office equipment, as well as the entire move, must be scheduled Monday through Friday after 5 p.m. or at the weekend to limit inconvenience to other tenants.


    Pro tip

    As a general rule, you can’t organise daytime relocations, but this rule has an exception too. If you rent an entire floor and promise not to disturb other tenants, off you go!


    Report and confirm delivery

    The move must be reported to the property manager by email and done in accordance with the following rules.

    MOVING STEP BY STEP

    STEP 1

    To make sure your moving goes without a hitch, discuss it with the property manager by email. Specify the day and time.


    STEP 2

    The property manager is responsible for:

    • indicating a parking area for delivery vehicles and a route for furniture deliveries,
    • defining the rules for the entry of the delivery company’s employees into the building,
    • ordering a waste container or extra security for the relocation.

    STEP 3

    Provide the property manager with a full list of details: the name of the relocation company, the contact details of the people responsible for the moving and the details of the vehicles that will be used during the process.


    STEP 4

    Provide the property manager with a list of people authorised to move around the building at least one day before the relocation date. Together determine the rules of entry into the building for the moving company’s employees to ensure that they can be easily identified by Warsaw Trade Tower security staff.


    STEP 5

    Please also pay attention to the further, but nevertheless equally important, transportation requirements:

    • secure the transport route (including lifts) against damage and soiling,
    • use hand trucks with rubber wheels that do not soil the floor,
    • arrange transport so that traffic routes and lifts are not clogged; other users must be able to use the building as usual,
    • put your company name and floor number on any packaging,
    • protect the corners of the boxes with tape,
    • mark the packaging so that it provides instructions on how to handle the items inside.

    Delivery zone

    Large parcels, including furniture and equipment, should be delivered through the delivery area at the rear of the building. There is a cargo lift that will take the delivery to the office level. However, make sure that the delivery man does not store materials on the unloading ramp for others to use. The guard at the loading bay will indicate where the delivery man can park.

    Dimensions of the cargo lift

    Inform the moving company (and other suppliers) that they must not block the cargo lift. Remember that not everything would fit into it. For this reason, we have prepared a graphic with the dimensions of the cargo lift at Warsaw Trade Tower.

Security in the building is responsible for ensuring the safety of employees and visitors to the facility, traffic control on the premises, ensuring the compliance with regulations and procedures in force on the premises, monitoring access and issuing access cards to common areas including the parking lot.
